Why Should I use Payclix?

Let me tell you a story.

I'm Edward Hall, the creator of PayClix. Last year I decided to get a Nexus card which, lets frequent travelers to go between the States and Canada without having to wait in those long immigration and security lines at the airport. I knew if I wanted the convenience of faster travel I had to pay for the card, be willing to be fingerprinted and investigated, and finally attend an interview. Since our daughter decided to go to college north of the border, I was back and forth enough to make this process worthwhile. I thought I was doing it for my convenience.

While I was waiting at border security to pickup my card, I chatted with an officer. To my surprise he informed me that getting the card, even though I had paid for it, was for his convenience, not mine. If our job is to catch the 'bad guys' he said, dealing with people who are law-abiding is just another distraction, a waste of our time. The Nexus card, he said, tells us you're law-abiding. You can go right on through. This lets us use our professional time and skills to catch the people with problems.

You know, I think of PayClix in the same sort of way. It allows the tenants who are good tenants to pay on-line, and lets you concentrate on the 'bad guys'. Collecting rent face-to-face, as if all tenants' payment behavior is equal, is maybe not the best use of your time and your property management skills. Save your professional talents and your energy for those tenants who are not paying on time.

Now you will rightly say that the face-to-face time with your tenants is important, and I wholly agree. But there are much more effective and productive ways of interacting with your tenants than on your doorstep or theirs. Can a resident make a partial or late payment?

Yes. With Payclix, you decide to accept or reject ALL payments. Unlike other companies, PayClix does not automatically deposit a tenant’s payment into your account. You are in control with Payclix! You have the ability to accept individual payments or use our “Group Accept” feature to accept all pending payments. It’s up to you.

 
Can I use PayClix to charge a resident a “miscellaneous” fee?

Absolutely. PayClix allows for all types of miscellaneous transactions. Whether it’s an application fee, late fee, damage fee or any other type of fee, PayClix can process them all!

 
Does PayClix allow for Virtual Terminal Payments?

You bet. With Payclix, you can process instant payments from residents or potential tenants. Many of our Property Managers use our “Onsite Payment” feature to collect and process move-in fees from new tenants.

 
Does a resident need a computer to pay with Payclix?

No. Residents can submit payments in person or over the phone if they wish. With Payclix, the onsite manager, property manager or owner can input all eCheck payments for the resident by using their own computer OR by having the resident provide the payment information over the phone. The property manager can also provide the resident with a printed receipt of payment that will be retained as historical payment data.

 
What is an eCheck?

If you have a checking account, you can pay by eCheck using PayClix. An electronic check, or eCheck, is an electronic version of a paper check, used to process a payment online. To make a payment for rent or other expenses by eCheck, renters simply provide PayClix with their checking account and routing numbers(example below). Upon payment acceptance by the property manager, PayClix debits the funds directly from the renter's checking account and deposits the funds directly into the property’s bank account.

 
How Do We Help You Promote PayClix to your tenants?

Upon registration, we will provide you with a FREE PayClix Promo Kit complete with resident door-hangers, signs, magnets and other materials to help you create awareness of PayClix and to help you promote PayClix usage by your tenants. In addition to these materials, we strongly encourage you to insert the PayClix "Enabled" logo/link (as shown below) on your property’s website to help promote online rental payments to potential residents AND to allow for easy payment access by your current residents.

How long does it take for the tenant’s funds to be deposited into my bank account?

Funds for payments accepted on a banking day, prior to 3pm PST will be transferred out of the Payclix.com bank account and will be deposited into your designated property bank account usually within two business days. In some instances, the funds may take an additional banking day to be deposited in your account due to the processes and policies of your local financial institution.

 
I do not have a website. Can I use Payclix?

You must have a website to place your PayClix link for your tenants to see. If you do not have a website, PayClix recommends the industry's best Property Management website templates from Pointwide Solutions. Pointwide websites have been created ONLY for property managers. Can I integrate PayClix data with my accounting and/or property management software?

Yes. With Payclix, you have the ability to export all transaction data into an Excel file that can then be "Saved As" a file type of your choice to integrate into your software. Current file output formats include; Space delimited (*.prn), Tab delimited (*.txt), Comma delimited (*.csv), Data Interchange Format (*.dif), Symbolic Link (*.slk). If we currently do not directly integrate with your accounting or property management software, PayClix can work with you to build an integration between the PayClix application and your current software. Additionally, PayClix provides the option of a "tenant code" field that can be customized by you to help streamline the integration process and be used to identify specific resident payments.

 
How do my residents sign up for the PayClix service?

Once you, the property owner/property manager signs up with Payclix, your residents will be instructed to go to www.payclix.com/register.cfm to register for FREE. The resident then inputs their email address and Zip Code. After clicking "Continue", the resident may be asked to choose their property name from a pull-down menu if there is more than one property associated with that Zip Code. The last step has the resident input some basic information including address, unit number, and stated rent amount. (Rent amounts are confirmed and controlled by you upon first payment by the resident.) Additionally, the resident has the choice to sign up for the monthly "Autopay" feature and/or to have email alerts sent to them two (2) days prior to when their rent is due.

 
I want to accept credit cards and debit cards. Why would I use PayClix?

The process and the expense for a property management company (PMC) to accept credit card and debit card transactions can outweigh their value, if the type of transaction is not point of sale, such as in store purchases, or, if the number of transactions is limited in nature, as in regularly scheduled payments.

The actual cost to the PMC of credit and debit card transactions can be difficult to calculate, since they can fluctuate with volume and the type of card used, and there are costs which are not easily quantifiable until after the transaction has been completed. Plus there is equipment to rent or purchase, monthly service fees, surcharges, set-up fees, and the expense of additional bookkeeping to consider.

For PMCs, PayClix allows you to deposit funds into more than one bank account. A traditional credit card/debit card merchant agreement requires that the funds be deposited into one bank account only. If you wanted to deposit into more than one bank account you would need to complete and pay the fees associated with each bank account as a separate merchant account, or you would have manually reconcile and transfer the money from a general account into separate property accounts.

Also, regardless of the number and type of transactions, or the amount of the transactions, the cost of having your own merchant account is not easy to anticipate. With PayClix, we are able to use our considerable volume of credit card and debit card transactions to your advantage in two important ways: we can offer you a fixed price, and we can offer you a volume discount, with absolutely no hidden fees or costs. We offer a ‘no surprise’ transaction process.

And …PayClix is more than a service provider. We offer many of the features of an escrow account, with our patent pending accept/reject function. The PayClix accept/reject function can protect the merchant from the complications and responsibilities of incomplete payments being accidentally processed. Plus, PayClix provides unsurpassed security and safety of your transactions, PayClix also securely protects you and your valued customer’s information. Finally, upon completion of a transaction, PayClix provides receipts, and tracks entries for your bookkeeping functions.

So, in summary, you could get your own merchant account BUT:

  1. you'd lose the ability to accept or reject any payment
  2. you'd still have to fill in all of the paperwork PayClix requires, but for a different processor
  3. you would have monthly fees and charges for having a merchant account and probably a signup fee too
  4. you would be responsible for paying the credit card discount fee, not your tenant
  5. your tenants would lose their ability to maintain a history file and track their payments
  6. you would have to setup a help desk to assist tenants making payments
  7. you'd have to make separate arrangements for accepting electronic checks
  8. you'd have to create your own webpage for accepting online payments
